VoxScreen ("we", "us", or "our") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our platform at voxscreen.com (the "Service"). Please read this policy carefully. By using the Service, you agree to the practices described herein.

Information We Collect

We collect information you provide directly and information generated through your use of the Service:

Account information: name, email address, company name, and password when you register.
Billing information: payment card details (processed securely by Stripe — we do not store raw card numbers).
Interview content: job descriptions, AI-generated questions, scoring rubrics, and candidate invitation details you create.
Voice recordings and transcripts: audio responses submitted by candidates through your interview links, along with AI-generated transcriptions and scores.
Usage data: log data such as IP addresses, browser type, pages visited, and timestamps.
Device and timezone data: browser timezone captured at signup to display times correctly.

How We Use Your Information

To provide, operate, and improve the Service.
To process payments and manage your subscription.
To send transactional emails (account verification, interview notifications, billing receipts).
To transcribe and score candidate voice responses using AI.
To analyze usage patterns and improve product features.
To comply with legal obligations.

Data Storage & Security

Your data is stored on servers hosted in the European Union and/or the United States. We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, hashed passwords (Argon2), and access controls. While we take these precautions seriously, no method of transmission over the internet is 100% secure.

Third-Party Services

We share data with the following third-party services to operate the platform:

OpenAI: Candidate voice recordings are sent to OpenAI's GPT-4o-mini API for transcription and GPT-4o-mini for AI scoring. OpenAI processes this data subject to their API data usage policies.
Stripe: Payment processing. Stripe collects and stores payment card information subject to their privacy policy and PCI-DSS compliance.
AWS S3 / compatible storage: Audio recordings are stored in object storage with access controls. Files are retained only as long as needed.
PostHog: Anonymised product analytics (page views, feature usage). Only activated with your explicit consent. No personal data is intentionally sent to PostHog.

We do not sell your personal data to third parties.

Data Retention

We retain account data for as long as your account is active or as needed to provide services. Candidate voice recordings and transcripts are retained for 90 days after interview completion by default, unless you delete them earlier. You may request deletion of your account data at any time by contacting us.

Your Rights (GDPR & CCPA)

Depending on your location, you may have the following rights regarding your personal data:

Access: Request a copy of the data we hold about you.
Rectification: Request correction of inaccurate data.
Erasure: Request deletion of your personal data ("right to be forgotten").
Portability: Request your data in a machine-readable format.
Objection / Restriction: Object to or restrict certain processing activities.
California residents (CCPA): Right to know, delete, and opt-out of the sale of personal information. We do not sell personal information.
