Video interview software for hotels, where every department hires differently

Video interview software for hotels gives each department head the same first look at applicants without a round of calls. Candidates for front desk, housekeeping and food and beverage roles record short answers on a phone, and the answers come back transcribed, scored against the hotel's criteria and ranked, with a CEFR level for spoken language. VoxScreen includes all of that on a permanent free plan covering 50 candidates a month, with unlimited reviewers. It is useful for roles where speaking to guests is the work. It tells you far less about housekeeping, where the decision still belongs to a trial shift.

Where screening breaks down

A hotel is four or five businesses under one roof, and they hire on different evidence. The front desk needs composure and clear speech at three in the morning. Housekeeping needs pace and trust behind a closed door. The bar needs someone who can be busy and pleasant at once. One general manager or one HR coordinator screens for all of them, usually by phone, between everything else.

Language makes it harder. A front desk role needs a level of spoken English, or of a second guest language, that a résumé can't show, and the first real evidence tends to arrive on a call that could have been two minutes long. Housekeeping teams are often multilingual in the other direction, and an English-only phone screen quietly removes good people.

Then there is the calendar. Seasonal properties hire most of a team in a few weeks, and new openings hire a whole one. Screening by phone at that volume means the people hired are the ones who picked up.

How a round runs

  1. Create one interview per role, in the language that role works in. VoxScreen drafts questions and criteria from a short description and each department head edits their own.
  2. Share the link in the posting. Applicants record in the browser on a phone, with no account, and any question can be voice only.
  3. Each interview returns a transcript, a score per criterion and a CEFR spoken-language level. For front desk, decide the level the role needs before you look at the list.
  4. Department heads review their own roles on their own shifts. Reviewers are unlimited, so the front office manager, the executive housekeeper and the food and beverage manager all have access at no cost.
  5. Bring the shortlist in. For guest-facing roles that is an interview at the desk. For housekeeping it is a paid trial beside a senior attendant.

What it replaces

The call that exists to check someone's English

A recorded answer gives you the same evidence in two minutes, with a level attached that the night manager and the general manager will read the same way.

One coordinator screening for five departments

When department heads can review recorded answers in their own time, the person who knows the job makes the first cut, instead of the person who had time to make calls.

Hiring a seasonal team from whoever answered the phone

Every applicant gets the same questions on the day they apply, so the choice is made across the whole pool.

What it costs at your volume

Plans differ in one thing: how many new candidates you add in a month. A candidate counts once, the first time their email address is added, and never again. Everything else is the same on every plan.

The tools you're probably comparing

Hotels usually compare on price, on whether every department head needs a paid seat, and on how many languages candidates can be interviewed in. These four cover that range, including one European vendor built around hospitality-style service.

When this is the wrong tool

  • You're hiring housekeepers and expecting the interview to tell you who cleans well. It can't. Use a recorded round only for the trust and judgement questions, or go straight to a trial shift.
  • Your guests and staff work in languages beyond English, Spanish, French, German and Portuguese. Willo lists more than eighteen interview languages. VoxScreen vs Willo
  • Candidate data has to stay in the EU, or you want a named person to set the tool up with you. Cammio says all its data centers are in the EU and assigns a client success manager. VoxScreen is self-serve and publishes no data-residency guarantee. VoxScreen vs Cammio
  • You're a large group with an HR system of record and security certifications on the vendor questionnaire. VoxScreen holds none, and connects by API instead of a native integration.

Common questions

Which hotel roles suit a recorded first round?

The ones where talking to guests is the job: front desk, reservations, concierge, restaurant and bar staff. It is weakest for housekeeping, maintenance and kitchen roles, where the work is physical and a trial shift tells you more.

Can we check a candidate's spoken English?

Yes. Every interview comes back with a CEFR level from A1 to C2 for the language it was conducted in, on every plan. It is a screening read from an unproctored recording, not a certificate, so confirm it in person for the shortlist.

Can housekeeping applicants answer in their own language?

If it is one of five: English, Spanish, French, German or Brazilian Portuguese. The interview is created in one language, so a hotel that hires in two would set up two versions of the same role. Open roles are unlimited.

Does each department head need a paid seat?

No. Team members are unlimited on every plan, the free one included. Bear in mind that everyone on the account sees every role, not only their own department's.

We're a seasonal property. Do we pay all year?

No. Paid plans are monthly with no annual contract, and the free plan has no end date. You can move up for the pre-season weeks and back down afterwards. A candidate is counted once, so returning seasonal staff don't count again.

Does it integrate with our property management or HR system?

Through a REST API and webhooks, on every plan. There are no ready-made connectors for hotel systems, so it needs a developer or an automation tool, or it runs on its own with a link.
